Behind the AGM: The Secretariat Keeping Member Records Sharp

Long before delegates arrived at The Excellence School, the work of the AGM was already happening at a desk stacked with membership files. Registration forms, contribution schedules and share records all have to reconcile before a single figure can be read out to members.

A file for every director

Each member file holds the signed application, identification details, next of kin, nominated beneficiaries and the running record of contributions received through Paybill 400200, account 01134773984500. When a member applies for a loan, this file is the first thing the appraisal team reads.

The secretariat's quiet insistence on complete files is what allows the Sacco to approve facilities quickly. An incomplete file is the single most common reason a loan stalls.

How members can help

• Always use your own member number as the account reference when paying
• Send the M-Pesa confirmation to the secretariat if a payment does not appear
• Notify the office when your phone number, school or email changes
• Review your statement each quarter and raise queries early
